Since 2009, Royals players, club alumni and fans have generously donated items to the Royals Hall of Fame. As the collection continues to grow, we welcome the donation of artifacts from any era that can better help tell the story of Kansas City baseball history.

The Royals Hall of Fame will also accept certain items as temporary loans that can help enrich specific exhibits. Many of our seasonal exhibits contain loaned artifacts from players, alumni, other institutions and the general public.

Acquisitions/Scope of Collection
The scope of the Royals Hall of Fame collection is dictated by the overall mission of the institution. The goal is to collect, preserve, and interpret the collection and its artifacts to the best of our ability.
Acquisitions Disclaimer
The Royals Hall of Fame is not a non-profit organization; therefore, a tax receipt for donations is not available. Financial incentives including but not limited to, money, game tickets, autographs, and other memorabilia are not included for exchange of objects and artifacts.
Specific Areas of Collection
The permanent collection of the Royals Hall of Fame includes but is not limited to: Objects and archives pertaining to current and past players of the Kansas City Royals
Objects and archives pertaining to professional and amateur teams and players of organizations in Kansas City prior to the Royals inaugural 1969 season
Objects and archives pertaining to the history of the Kansas City Royals
Objects and archives pertaining to the history of baseball in Kansas City
Condition of Objects
All objects entering the Royals Hall of Fame must be in structurally sound or in stable condition and will not cause injury or damage to other objects in the collection, storage or display facilities, or individuals working at or visiting the museum. The determination as to the condition of objects will be at the sole discretion of the Royals Hall of Fame.
Objects that the Royals Hall of Fame cannot properly store due to facility restrictions will not be considered. Donors must be the legal owner of all objects and archives they entering into the Hall of Fame and give each without any restrictions, conditions or encumbrances.
Donation of Objects - Accession Procedure
Potential donations will be accepted temporarily by the Royals Hall of Fame for consideration as acquisitions. The donor will sign a Temporary Custody Receipt, and the objects will be taken to the collections committee for consideration. While potential donations are under consideration for acquisition, the Royals Hall of Fame will neither insure the object(s) nor be liable for any loss, damage or deterioration of the object(s).
If the objects are declined, the owners will have thirty (30) days after notification to pick up the object(s). Failure of the owner to do so permits the Royals Hall of Fame to dispose of the objects as it chooses. If the objects are accepted, a Deed of Gift form will be sent to the donor for the donor's signature. The Deed of Gift form will list the objects accepted and will document the transfer of title ofto the objects from donor to the Royals Hall of Fame; therefore, though a donor may choose to remain anonymous, the Deed of Gift form must be filled out for accepted objects.. Donation records will be kept secure and not available for general research by the public.[or, if going to be made public, revise to say that donors who wish to remain anonymous will not be identified on the records made available for public search].
Preservation and Conservation
Preservation of the collection (artifacts, photographs, archive materials, and/or general history), is part of the Royals Hall of Fame mission statement and as such we will strive to meet professional standards regarding handling, storage, and displaying. The Royals Hall of Fame cannot guarantee that any accepted objects will be exhibited, in whole or in part, unless expressly collected for that purpose.
Any cleaning, repair, or artifact conservation must be done under the direction and/or with the approval of the Director and in keeping with professionally accepted standards.
In-Coming Loans
Terms: Loans from institutions and private collectors will be used only for exhibition and will be governed by this Royals Hall of Fame Collection policy and a loan agreement to be entered into between the Royals Hall of Fame and lender. Loans will not be taken for storage.
From Institutions Only
From Institutions: All incoming loans for the Royals Hall of Fame must be for periods no longer than one (1) year.
From individual lenders: All "long-term loans" will be renewed annually. If the Royals Hall of Fame wishes to extend the loan period beyond one (1) year, it will send the lender a new loan agreement no later than thirty (30) days prior to the expiration of the initial loan period., a new loan agreement will be sent to the lender. If lender agrees to a loan extension, is desired, the lender and Royals Hall of Fame must renew the loan by signing a the new loan agreement thirty days prior to the term expiration. If the Royals Hall of Fame is in violation of the terms of the loan agreement, the lender may terminate the loan immediately. Otherwise, the lender must give at least thirty (30) days notice to recall the loan.
Care: The Royals Hall of Fame will exercise the same care with respect to in-coming loaned objects as it does to its own museum collection. Objects will be protected from fire, theft, water, insects, mold, mishandling, dirt, extremes of light, temperature and humidity. Should loss, damage, or deterioration (other than naturally occurring deterioration due to the composition or manufacture of the object) occur, the lender will be immediately notified in detail and will be provided with photographic documentation and a thorough condition report as to the extent of the loss, damage, or deterioration. The Royals Hall of Fame will not be liable for any loss, damage or deterioration (as described above).
Packing & Shipping: The Royals Hall of Fame agrees to pay all costs for packing, crating, and transportation, unless otherwise agreed upon by the lender. Objects will be returned to the lender carefully packed in the same manner as received. All packing, unpacking, and transportation will be done by experienced personnel. A condition report will be written when each object is unpacked and received. A subsequent condition report will be written when each object is returned to the lender.
Insurance: The lender will insure the objects under the Kansas City Royals wall-to-wall policy unless otherwise agreed upon by both the Royals Hall of Fame and the lender. Reproduction: The Royals Hall of Fame may photograph any loaned object for use in its own publications, records, research and programs, unless otherwise stated in writing by the lender. Images will be used in accordance with current copyright laws and the expressly-stated wishes of the lender. The Royals Hall of Fame allows visitors to the Hall of Fame to take photography of the items. Loaned objects are allowed to be photographed unless restricted by the lender or copyright law.
Credit: When the loaned items, or information regarding the loaned items is used in exhibitions or publicity, the Royals Hall of Fame will give appropriate credit to the lender. A credit is given on the object label.
Out-going Loans
The Royals Hall of Fame will only lend objects to other museums and Halls of Fame that will comply with the conditions stated below and the terms of a loan agreement to be entered into between the Royals Hall of Fame and the borrowing institution. Fragile objects, frequently exhibited or researched objects, or objects currently on exhibit are not considered for loan.
Terms: All loans from the Royals Hall of Fame must be for a period no longer than one (1) year.
If a loan extension is desired, the borrower and the Hall of Fame must renew by signing a new loan agreement. If the borrowing institution is in violation of the terms of the loan agreement, the Royals Hall of Fame may immediately recall the loan.
Care: The borrowing institution will exercise the same care with respect to in-coming loaned objects as it does to its own museum collection. Objects will be protected from fire, theft, mishandling, dirt, and extremes of light, temperature and humidity. Should loss, damage, or deterioration be noted, the borrowing institution will immediately notify the Royals Hall of Fame in detail. The borrowing institution assumes all liability for any loss, damage, and deterioration (as described above) of the loaned objects during the term of the loan period.

Reproduction: The Royals Hall of Fame grants the borrowing institution permission to photograph any loaned object for use in its own publications, research, records, and educational programs, unless otherwise stated in writing.
Reproduction: The Royals Hall of Fame grants the borrowing institution permission to photograph any loaned object solely for use in its own publications, research, records, and educational programs, unless otherwise stated in a mutually agreed upon writing executed by both the Royals Hall of Fame and the borrowing institution.
Credit: When the loaned items or information regarding the loaned items is used in exhibitions or publicity, the borrowing institution will give appropriate credit to the Royals Hall of Fame. The borrowing institution will provide the Royals Hall of Fame a copy of any publication, publicity or catalog in which the loaned items or information regarding the loaned items is used. The credit line shall state "Royals Hall of Fame."
Deaccession Policy: Objects left for consideration, and objects now in the permanent collection, which no longer meet the Mission Statement, the needs of the Royals Hall of Fame, and the Collection Policy, may be considered for deaccessioning. The object must meet at least one (1) of the following criteria to be considered for deaccessioning:
? The object is not consistent with Royals Hall of Fame's Mission Statement or Collections Policy.
? The object is a duplicate.
? The object is in poor condition.
? The object is dangerous or may cause damage to other objects in the collection, storage or display facilities or individuals working at or visiting the museum.
Deaccession Procedure: The Curator may present to the Director a proposal for deaccessioning and their recommendations for the object's disposition. The Director has the final decision. Deaccessions will be conducted in accordance with Missouri property laws.
Disposition Procedure: When disposing of an object, the Royals Hall of Fame must first determine that it has the legal right to do so, by locating a Deed of Gift Agreement, or other legal written agreement. If the object for disposition is of local and historical value, then it shall first be offered to museums in the local area. If the object for disposition has no localized area but is of historical value, then it shall be offered to any interested museum or institution. If the object for disposition has no significant localized area, is of little historical value, and/or if no other museum or institution is interested in obtaining the object for their permanent collection then the object shall be sold at a sale or auction to the highest bidder with all proceeds from the sale going to Royals Hall of Fame. If it's of little historical value and/or in poor condition it may also be discarded. The method and date of disposal shall be documented and kept in the permanent records. A permanent record of all deaccessions and subsequent disposition will be kept by the Royals Hall of Fame.
Appraisals
The Royals Hall of Fame does not give or pay for appraisals of objects.
